News Release
A news release, also called a press release, can promote a persons company or business farther than is possible for advertising alone. A news release will be sent out to journalist, broadcasters, and other media outlets that will hopefully want to follow up on the news release with a story and for that reason they need to be simple, clear, and concise.
A news release should never be more than one to two pages long. A news release that is too long will not be appealing to a member of the media who is looking for some good news to report on or make a story out of. Any news release should be able to be wrapped up by the person writing it in one to two pages.
A news release must also be simply worded. A person who is turning in a news release does not want there reader confused with fussy or glittery words. They do not want the reader to have to guess at the point of the news release. Rather they want to use small and simple words that are formed together to state a clear and understandable objective or story.
A news release will be sent out to many different outlets of the media. It can be sent to journalist for newspapers, to reporters for broadcasting companies, and to editors of magazines. A news release can be sent out to one or all of these depending on the type of news that it is and the size of the audience that the writer is trying to reach.
There are a few different ways of contacting these members of the media. The first way is by phone. This may be difficult to do, as most members of the media are not readily available but are usually looking for something to report on. Phone calls can also be a negative because if the reporters are not available you will have to call back several times before reaching them and they may be so sick of you by then that they don't want to talk. However if you know the reporter and have worked with them in the past, and if the reporter knows you and holds you as a creditable source for information then calling them on the phone may be the simplest way of sharing your news release.
You may also fax a news release. Faxing is very impersonal and you cannot know for sure who will be picking up the fax or whether it will even make it into the right hands. However there are usually people who have the assignment of picking up faxes and delivering them to the right hands, and so if you are confident in that person, than faxing is a quick way to get a news release out to several people.
You may also email. This too though can be aggravating to the reporter if they are not expecting your message and have not given you permission to write them. Your email may end up in a spam folder. However you can call ahead of time to a secretary or an assistant and find out if they have a business email address that they would be interested in receiving news releases at.
The last option is that you may also want to hire a public relations or press release service to make the contacts and deliver your news releases for you. If you send out a number of news releases a year, on your company or company products, this may be the best option as an agency will already have a list of contacts they can quickly get your information out to. In this case you will have to do nothing but write the release and then your focus can be on perfecting the presentation of your product, or on continuing to improve and expand your company.
In short a news release is a great way to get information about your products or company out through the media to the public. If the media outlet you are using is not connected to your company than you are more likely to find an increase in the success of your company. News releases are a great way to help your company grow.
